Purpose
This procedure establishes a quarterly maintenance inspection schedule to ensure all key systems and equipment are functioning properly and that any potential issues are identified and addressed promptly. Conducting these inspections every three months ensures equipment longevity, reduces unexpected breakdowns, and maintains the overall safety and efficiency of the facility.

Scope
This procedure applies to all maintenance personnel and covers comprehensive inspections and evaluations of facility systems and equipment every quarter (January, April, July, and October). The completed inspection checklist must be submitted to the supervisor after each quarter. This ensures that all critical areas receive adequate attention and that corrective actions are promptly taken.

Quarterly Maintenance Inspection Tasks
Air Conditioning Systems

- Inspect all air conditioning units on campus and in the offices, ensuring each unit functions properly.
- Check for unusual noises or leaks, and clean or replace air filters as needed.
- Ensure thermostat settings are accurate and efficient.

Generator Systems
- Review the generator's operational hours. If they fall within the 300—to 500-hour range, ensure the generator is serviced.
- Conduct a load test on the generator to ensure it can handle the necessary capacity.
- Inspect fuel lines, oil levels, and filters for visible signs of wear or damage.

Plumbing Systems
- Inspect all bathrooms, kitchens, and other water points for leaks, drips, or low water pressure.
- Check that water heaters are functioning correctly.
- Test drainage systems to ensure there are no blockages.

Electrical Systems
- Check all exterior and interior lights. Ensure there are no burnt-out bulbs and that all electrical fixtures function correctly.
- Inspect the condition of all wiring, looking for wear or exposed wires that may need attention.
- Test all outlets and switches to confirm they are in good working condition.

Building Structural Integrity
- Inspect roofs, walls, and foundations for any signs of damage, wear, or leaks.
- Ensure all doors and windows are in good working order, and oil tracks or hinges as necessary.
- Check all gates for ease of operation and apply lubrication to tracks where needed.

Fire Safety Equipment
- Inspect fire extinguishers for proper placement and pressure levels. Ensure they are serviced according to the schedule.
- Test smoke detectors and carbon monoxide alarms to verify they are working well.

Water Treatment Systems
- Check water tanks for cleanliness and confirm that proper water treatment chemicals are added to maintain water quality.
- Ensure all piping is secure, with no visible leaks or weaknesses.

Insect and Pest Control
- Inspect for any signs of pest infestation inside and outside the buildings.
- Ensure that insecticide treatments have been applied where necessary and that all grass and plant growth near ministry buildings is properly controlled.

Landscaping and Exterior Areas
- Inspect the overall condition of the exterior grounds. Ensure the grass and plants are well maintained and that any overgrowth is trimmed.
- Check all walkways and exterior areas for trip hazards, broken paving stones, or uneven surfaces that could pose a safety risk.

Water Jug Supply
- Confirm that water jugs are consistently placed on each residence's back porch and that any water delivery or collection issues are noted and addressed.
