Section: Human Resource Policies
Policy Owner: Ignition633 Ministries Nigeria Human Resources
Policy Name: Scheduling Tasks Policy
Origination Date: November 2024

Purpose
To complete maintenance activities on time, avoid delays, and ensure consistent care for the grounds. Scheduling helps prioritize tasks, use resources efficiently, and coordinate with ministry events and seasonal needs.

Scope
It involves planning and organizing maintenance activities for all outdoor areas, prioritizing tasks like lawn care, landscaping, irrigation, trash removal, and plant care to ensure they are done on time.

Definition
Scheduling: is the process of planning and organizing tasks, activities, or events by assigning them specific times or dates for completion.
Tasks: are specific actions or activities that need to be completed to achieve a goal or fulfill a responsibility.

Scheduling Tasks Policy
There are many tasks in the maintenance department. Your supervisor will delegate tasks and ensure they are completed on time. The groundskeeper will be responsible for the following:

Clean Environment
Follow the environment cleaning schedule, and keep the campus clean by clearing the environment of debris and any dirt-causing agents.

Groundkeeping
Ensure you complete all maintenance inspection routines and requirements. This may involve checking the generator fuel level, turning it on and off when necessary, changing to either generator or NEPA, pumping water, etc. Alert team members the moment you notice technical problems. Technical problems could range from electrical to plumbing issues.

Surrounding Environment
See that Campus's surrounding environment is always kept clean.

Security Lights
All the bulbs and security lights must be functioning correctly. When they are not, please notify the maintenance supervisor as soon as possible.

Be Available
Staff must be available to pick up work-related phone or radio calls at any moment and be easily reachable to residents, employees, and supervisors.

Be Flexible
There may be tasks that were not scheduled or expected, especially when we have guests. You will need to be flexible and shift jobs to accommodate these needs.
