Purpose
The Maintenance Procedures aim to outline systematic approaches for preventive and corrective maintenance, ensuring that all critical equipment and systems are maintained efficiently and safely. This policy seeks to enhance operational reliability, extend the lifespan of equipment, and ensure compliance with health, safety, and environmental regulations. It also aims to establish a clear framework for inventory management, safety practices, environmental compliance, and thorough documentation of maintenance activities.
Scope
This policy applies to all maintenance personnel involved in preventive and corrective maintenance activities and those responsible for managing equipment inventories and ensuring safety and environmental regulations compliance. It covers developing and implementing maintenance programs, prioritization of repair tasks, inventory management, adherence to safety guidelines, environmental compliance, and the maintenance of detailed documentation and reporting on maintenance activities.

Preventive Maintenance
Program Development
- Identify all critical equipment and systems requiring preventive maintenance.
- Develop a preventive maintenance schedule outlining the frequency of inspections, testing, lubrication, and calibration.
- Ensure the schedule aligns with manufacturer recommendations and operational needs.
Inspection and Testing
- Conduct regular inspections and tests as per the preventive maintenance schedule.
- Check for signs of wear and tear, abnormal performance, and potential issues.
Lubrication and Calibration
- Perform lubrication tasks as required to ensure smooth operation of equipment.
- Calibrate equipment according to manufacturer specifications to maintain accuracy and efficiency.
Documentation
Record all preventive maintenance activities in the maintenance log, including dates, tasks performed, and observations
Corrective Maintenance
Request Handling
- Receive and log maintenance requests through a designated system or process.
- Prioritize requests based on urgency and impact on operations.
Issue Assessment
- Evaluate the issue to determine the necessary corrective actions.
- Allocate resources and assign tasks based on priority.
Repair Execution
- Perform repairs using appropriate tools, techniques, and materials.
- Ensure repairs meet safety and quality standards.
Post-Repair Evaluation
- Test the repaired equipment to confirm proper functionality.
- Update maintenance records with repair details and any follow-up actions required.
Equipment and Spare Parts Inventory
Inventory Management
- Maintain an up-to-date inventory of all critical equipment and spare parts.
