Purpose
This policy defines the responsibilities and weekly tasks of the Outreach Coordinator, ensuring alignment with the Ministry's mission to effectively engage communities, foster discipleship, and promote ethical outreach practices.
Scope
This policy applies to all Outreach Coordinators and relevant stakeholders involved in planning, executing, and evaluating outreach activities within the ministry.
Policy Statement
Program Development and Planning
- Identify outreach needs and develop programs to meet those needs.
Community Engagement
- Foster relationships with community members, organizations, and other stakeholders.
Volunteer Management
- Recruit, train, and supervise volunteers participating in outreach activities.
Training and Development
- Participate in regular training to stay updated on best practices and emerging trends in outreach coordination.
Conflict Resolution
- Address and mediate conflicts that may arise during outreach efforts, ensuring resolution aligns with organizational policies.
Ethical Conduct
- Uphold ethical standards in all interactions and ensure outreach programs are free from discrimination, exploitation, or harm.
Partnerships
- Cultivate and maintain partnerships with external organizations and community leaders to expand outreach efforts.
Discipleship and Follow-Up
- Establish partnerships with local churches for continuous discipleship of new converts.
- Assign follow-up teams to maintain contact with converts through calls, visits, or group meetings.
- Provide discipleship materials and encourage regular Bible study and prayer groups.
Evaluation and Reporting
- Maintain detailed records of outreach events, participant feedback, and outcomes. Provide regular reports to leadership.
- Hold debriefing sessions with the team to review the successes and challenges of the outreach.
- Document the number of people reached, decisions made for Christ, and testimonies of impact.
- Submit a detailed report to ministry leadership, including recommendations for future improvements.
Special Considerations for IDP
- Collaborate with camp authorities and humanitarian organizations working in camps to ensure smooth operations and compliance with camp rules.
- Integrate trauma-informed counseling to address the psychological needs of displaced individuals.
- Address the physical needs of IDPs by distributing essential supplies, such as food, clothing, and hygiene items.
- Offer long-term discipleship programs tailored to the transient nature of IDP communities.
- Advocate for community reintegration and empowerment through vocational training and education programs alongside spiritual support.
- Create a safe and welcoming environment for sharing the gospel, being sensitive to their emotional and psychological state.
Weekly Tasks
- Plan and execute outreach programs that align with the ministry's mission and goals.
- Act as the bridge between the organization and the target community or group.
- Coordinate with team members, volunteers, and other stakeholders to ensure the success of outreach activities.
- Develop materials, presentations, and resources necessary for outreach programs.
- Evaluate the effectiveness of outreach efforts and suggest improvements.
