Purpose
This policy defines the roles and responsibilities of the Follow-Up Coordinator in nurturing new converts and visitors, ensuring their seamless integration into church through effective communication, discipleship, and support strategies.

Scope
This policy applies to the Follow-Up Coordinator role, covering their duties in database management, communication, discipleship coordination, and collaboration with ministry teams to enhance the church experience for new members.

Policy Statement
Roles and Responsibilities

- Develop and implement follow-up strategies to nurture new converts and visitors.
- Maintain accurate records of new members, including contact information and follow-up status.
- Collaborate with pastors, evangelism coordinators, and other ministry teams to ensure seamless integration of new members.
- Provide regular updates to the outreach leadership on follow-up activities and progress.
- Identify and address the spiritual or logistical needs of new members to enhance their church experience.
- Organize training sessions for follow-up team members to improve engagement and communication skills.
- Assist in the planning and execution of outreach events to ensure follow-up processes are incorporated. 

Weekly Tasks/Duties
Database Management
- Update the follow-up database with information on new converts and visitors.
- Review and verify the accuracy of contact details and follow-up records. 

Contact and Communication
- Reach out to new members through calls, messages, or visits within 72 hours of their first connection.
- Send welcome messages and provide information about church programs and activities.
- Follow up on prayer requests or specific concerns raised by new members. 

Discipleship Coordination
- Assign new converts to appropriate discipleship programs or groups.
- Schedule and oversee regular follow-up meetings with assigned mentors.
- Monitor the progress of new members in discipleship programs and address any challenges. 

Event Participation
- Attend weekly outreach team meetings to report on follow-up activities.
- Participate in church events to meet and engage with new members.
- Assist in organizing welcome sessions or introductory programs for new members. 

Feedback and Reporting
- Collect feedback from new members about their experience.
- Prepare and submit weekly reports to the Outreach Coordinator, highlighting key achievements and challenges.
- Identify trends or recurring issues to propose improvements to the follow-up process.
