Section: Human Resource Procedures
procedure Owner: Ignition633 Ministries Nigeria Human Resources
Procedure Name: Vehicle Maintenance Procedure
Origination Date: August 2024

Purpose
To ensure the safety and reliability of all vehicles operated by the ministry, drivers will be provided with the necessary steps to perform regular vehicle maintenance checks before starting any journey.

Scope
This procedure applies to all drivers responsible for operating vehicles owned or managed by the ministry. It must be followed before each trip to identify and address potential maintenance issues that could compromise vehicle safety or performance.

Vehicle Maintenance Guidelines
Pre-Trip Maintenance Check
Before starting your journey, check in with the Transport Officer to confirm no pending maintenance issues. This step ensures that any previously identified problems have been resolved.

Quick Vehicle Inspection
In addition to your daily vehicle inspection form, conduct a quick inspection to confirm your vehicle's readiness for the journey. Focus on the following areas.

Key Inspection Points
Wiper Blades and Washer Fluid
Ensure that the wiper blades are functioning properly. Check the washer fluid level and refill if necessary to maintain clear visibility during the trip.

Tire Pressure and Spare Tire
Check the air pressure in all tires, including the spare tire. Ensure the vehicle has a spare tire and all necessary tools (such as a jack and wrench) are available and in good working condition for a quick tire swap if needed.

Brakes
Inspect the brakes to ensure they are functioning correctly. This includes checking the brake pads, discs, and brake fluid level.

Fluid Leaks
Look under the vehicle for any signs of fluid leaks. Pay particular attention to oil, coolant, and brake fluid leaks. If any leaks are detected, report them immediately, and do not proceed with the trip until the issue is resolved.

Lights and Signals
Verify that all headlights, taillights, brake lights, and turn signals are working properly. Functioning lights are crucial for safe driving, especially at night or in poor weather conditions.

Oil Level
Check the oil level using the dipstick. If the oil level is low, add the appropriate type of oil as the manufacturer recommends.

Coolant Level
Check the coolant level in the radiator and refill if needed. Proper coolant levels are essential to prevent the engine from overheating.

Final Confirmation
Double-Check Brakes
Reassess the brake system to ensure full confidence in their performance before beginning your trip.

Sign-Off
Once all checks are complete and the vehicle is deemed roadworthy, document your inspection on the vehicle inspection checklist and proceed with your journey.
