Purpose
This policy establishes guidelines for the use, maintenance, and safekeeping of the driver's phone during long trips. These phone ensures smooth communication and navigation, support emergency assistance, and enhance travel efficiency during ministry-related journeys.
Scope
This policy applies to all drivers and personnel responsible for Ministry vehicles on long-distance trips. It outlines the proper use of ministry-provided phones, the process for handling emergencies, and the responsibilities of maintaining and returning them after use.
Policy Statement
Provision of Driver's Phone
- The Ministry will provide drivers with phones for long trips and travel. The phone will be placed in the lead vehicle and primarily used for communication and navigation.
- The Transport Officer subscribes to necessary services before each long trip, ensuring the phone has the required data for Google Maps and other communication needs.
Use of Phone
- The phone should be used for navigation, and Google Maps should be used to ensure safe and efficient travel on long-distance routes. All drivers will be trained to read and understand Google Maps.
- During an emergency, the striker (a designated support person) traveling in the lead vehicle may use the phone to make necessary calls, allowing the driver to focus on driving.
- Communication between the lead vehicle and other following vehicles during long trips will be conducted using the radio, not the phone (unless necessary).
Maintenance and Safe Keeping
- Upon return from any trip, the phone must be returned to the Transport Officer for safekeeping.
- If the phone is damaged due to careless use, the individual responsible for the damage may be required to cover the repair or replacement costs.
