This procedure applies to all drivers responsible for transporting passengers or goods for the organization.
Definition
Trip Preparation refers to the comprehensive tasks and checks a driver must complete before commencing a journey. This process ensures that the vehicle is in optimal condition and properly equipped and that the driver is fully informed about the trip details.
- Vehicle Maintenance Check
Pre-Trip Inspection: Conduct a thorough pre-trip inspection of the vehicle to ensure it is in optimal condition. This includes checking:
- Engine oil, coolant, brake fluid, and other essential fluids.
- Tire pressure, including the spare tire.
- Functionality of lights, indicators, horns, and wipers.
- Brakes, steering, and suspension systems.
- Fuel level and availability of necessary tools, such as a jack and wrench.
Report Issues: Immediately report any issues or potential hazards to the maintenance team or Transport Officer for prompt resolution. - Stock Your Vehicle
Emergency Supplies: Ensure the vehicle is stocked with emergency supplies, including:
- A first aid kit.
- Fire extinguisher.
- Reflective triangles or flares.
- Jumper cables.
Passenger Amenities: For passenger comfort, check the availability of:
- Cold water
- Tissue Box
- iPhone Charger
Trip Briefing: Obtain a detailed briefing from the Transport Officer regarding:
- The purpose of the trip and destination.
- The number of passengers or nature of goods to be transported.
- Any specific instructions or requirements for the trip.
Contact Information: Ensure you have the Transport Officer's contact information for emergencies or updates during the trip. - Radio Communication
Check Equipment: Test the radio communication equipment to ensure it functions correctly.
Protocol Review: Review the communication protocol with the Transport Officer, including:
- Frequency to be used.
- Check-in intervals during the trip.
Practice Communication: If necessary, practice using the radio to ensure clear and effective communication. - Driver Etiquette
Professional Conduct: Maintain a high level of professionalism at all times. This includes:
- Do not initiate conversation with passengers unless they engage you first. This ensures that passengers who prefer a quiet journey are respected.
- Adhering to traffic laws and regulations.
- Driving defensively and courteously.
- Keeping the vehicle clean and presentable.
Passenger Interaction: Respond politely and briefly if a passenger engages in conversation. Be mindful of cues that indicate whether they wish to continue the conversation or prefer silence.
Punctuality: Ensure timely departure and arrival. Do not keep travelers waiting; be ready and fully prepared before the scheduled departure time.
