Purpose
This policy establishes clear guidelines for the proper use, care, and responsibility of ministry-issued devices, including mobile phones, laptops, tablets, and related accessories. The purpose is to protect ministry assets, ensure data security, maintain professionalism, and define accountability for damage or misuse.
Scope
This policy applies to all employees, contractors, interns, and volunteers of Ignition633 Ministries Nigeria who are issued ministry-owned devices or granted access to ministry technology resources.
This includes, but is not limited to:

Work mobile phones

Laptops and desktop computers
-
Tablets
-
Chargers and accessories
-
Protective phone cases and laptop covers
-
SIM cards and data plans issued by the ministry
Ownership of Equipment

All devices and accessories issued to employees remain the sole property of Ignition633 Ministries Nigeria.

Equipment is provided strictly for ministry-related work and responsibilities.

Devices must be returned immediately upon resignation, termination, or reassignment when requested.

Work devices are to be used for ministry purposes only.

Personal use is not permitted unless expressly authorized by management.

Devices must not be used for personal business ventures, social media influencing, entertainment streaming, or non-ministry-related activities.

Downloading unauthorized applications or software is prohibited.

Employees must not access inappropriate, illegal, or unethical content using ministry equipment.
Care and Protection of Equipment

Employees are expected to exercise reasonable and responsible care of all issued devices.

Ministry-issued phone cases must remain on the device at all times.

Employees are strictly prohibited from removing or replacing the protective case without written approval from management.

Devices must be stored securely when not in use.

Equipment should not be left unattended in public places, vehicles, or unsecured environments.

Devices must be protected from water damage, drops, excessive heat, or other avoidable risks.
Damage, Loss, or Theft

Employees are financially responsible for any damage resulting from negligence, misuse, or failure to follow this policy.

If a device is damaged while in the employee’s care due to negligence, the employee will be responsible for repair or replacement costs.

If a protective phone case is removed and the device is damaged, the employee will be fully responsible for all associated repair costs.

Lost or stolen devices must be reported to HR and the employee’s supervisor immediately (within 24 hours).

Failure to report loss promptly may result in disciplinary action.

The ministry reserves the right to deduct repair or replacement costs from the employee’s salary in accordance with applicable Nigerian labor laws and with proper authorization.
Security and Confidentiality

Employees must use passwords, PINs, or biometric security features on all devices.

Passwords must not be shared.
-
Confidential ministry information must not be transferred to personal devices.

In the event of termination or resignation, access credentials will be revoked immediately.
Monitoring

Ignition633 Ministries Nigeria reserves the right to monitor device usage, internet activity, emails, and stored data on ministry-owned equipment at any time to ensure compliance with this policy and to protect organizational interests.

Employees should have no expectation of privacy when using ministry-issued devices.
Enforcement
Failure to comply with this policy may result in corrective action, including verbal warnings, written warnings, financial liability for damages, suspension of device privileges, or termination of employment.
This policy will be reviewed annually and is subject to change. Any updates will be communicated promptly to all employees.
