Purpose
This policy outlines the proper process for employees who wish to resign from Ignition633 ministry, ensuring a smooth and transparent transition process for both the staff and the ministry.

Scope
This policy applies to all employees of the ministry, regardless of their department, position, or level of employment, whether full-time, part-time, or contract staff. It covers all cases of voluntary resignation and separation from the ministry.

Policy Statement
No resignation or separation shall be considered formal or valid until a written resignation letter has been submitted to the Human Resources (HR) Department. All final benefits, entitlements, or clearance approvals will be withheld until the employee has completed all required exit procedures.

Giving Proper Notice Before Leaving
Employees must submit their resignation letters at least two (2) to three (3) weeks before their intended date of exit. This notice period allows enough time for HR and the relevant department to process handover and replacement arrangements.

How Submission Should be Done
- All resignation letters must be addressed to HR.
- If a resignation letter is submitted to a supervisor or department head, it is the supervisor’s responsibility to forward the letter to HR immediately for proper documentation.
- Failure to forward or submit the letter to HR may result in a delay or forfeiture of benefits.

Completion of Exit Procedures
Employees must complete all necessary exit formalities, including
- Submission of resignation letter to HR.
- Proper handover of work tools, materials, or documents.
- Clearance from all relevant departments.
- Settlement of outstanding obligations (if any).

Final Entitlements
All final payments and benefits will only be processed after HR confirms that the resignation and clearance process has been fully completed.
