Purpose:
The purpose of this policy is to state clear guidelines regarding solicitation on Ministry property to have a respectful and professional environment. This policy applies to all employees and visitors.
Scope:
This policy addresses all activities involving the solicitation of goods, services, use of Ministry property for sales, or promotion of events that individuals display on their bodies, particularly those related to outside events.
Definition:
Solicitation:
Refers to the act of seeking or requesting something from others, often in a formal or persistent manner. This can include asking for donations, selling goods or services, or seeking participation in various activities or programs.
Policy Statement:
No Sales Activities:
The Ministry generally prohibits sales activities on its property, including the sale of goods, merchandise, or services. However, exceptions are allowed under specific conditions to ensure such activities do not interfere with the workflow. Employees may engage in limited sales activities, provided they adhere to the following guidelines:

Location: Sales items must be kept within the employee's workstation.

Timing: Sales transactions are only permitted during designated break times to avoid distractions during work hours.

Non-Disruption: Sales activities must not interfere with the employee's responsibilities or the overall workflow within the Ministry.
No Solicitation of Other Programs or Events:
Solicitation for participation in, or promotion of, programs, events, or activities not organized or endorsed by the Ministry is prohibited. This applies to both internal and external programs or events.
Exception for Approved Activities:
The Ministry’s Executive leadership must explicitly approve for exception to this policy. Requests for exceptions should be submitted in writing and will be reviewed on a case-by-case basis.
Procedures:
Request for Exception
Requests for exceptions must be submitted to the Ministry’s Executive Leadership at least ten days prior to the proposed activity. The request should include details about the nature of the solicitation/event.
Enforcement:
Any individual found to be in violation of this policy will be subject to appropriate corrective actions, which may include verbal or written warnings.

This policy will be reviewed annually and is subject to change. Any changes will be communicated to all employees promptly.
