Purpose
This policy establishes clear and comprehensive guidelines for gate guards to ensure the security, safety, and smooth operation of the Ministry’s premises. It is designed to standardize the responsibilities and conduct of gate guards, promoting vigilance, professionalism, and adherence to established procedures. The policy aims to protect the Ministry’s property, staff, and visitors by outlining essential rules and protocols that must be followed at all times.

Scope
This policy applies to all gate guards employed by the Ministry. It encompasses a wide range of duties, including punctuality, gate supervision, maintaining a tidy work area, reporting incidents, and ensuring the security of the premises. It also covers specific protocols such as controlling access, preventing theft, handling guests and visitors, maintaining professional conduct, and following proper procedures. 

Timely
Arriving to work and from breaks on time is essential. Contact your supervisor if you are running late or need more time to come to work. Corrective actions will be taken if you are tardy or absent without notice.

Supervise The Gate
Do not allow staff or residents to open the gate for themselves; only let entry or exit from the campus with a search. You can use the updated approved person's list to stay updated on whom to search and whom to permit entry or exit without a search.

Tidy Area
The gate environment could be messy sometimes (especially outside). Always let the groundskeeper know when your work environment needs to be thoroughly cleaned. Ensure it stays clean and everything is where it should be. When the refuse dump outside becomes full, immediately inform your supervisor or make an official report about it.

Report Incidents Immediately
If you notice a problem or suspicious movements, don't ignore them. Alert security and report it to your supervisor as soon as possible. Fill out an incident report form because actions can only be taken quickly if management knows the problem.

Public Restrooms
Do NOT urinate outside or around the gate area or anywhere in the facility except in the public toilet. Inform all strikers and show guests the public restroom when they need to use it.

Keep The Gates Locked
The gates are to be kept closed and locked at all times, and ensure that no unauthorized persons are allowed access into the compound. Those seeking entrance should only be admitted by the party they wish to see.

Follow Proper Procedures
Failing to search individuals before they enter the campus increases the likelihood of a weapon being smuggled inside, possibly leading to dire consequences. Therefore, the gate guard is required to follow established procedures.

Guest's Permit
Only allow guests into the campus with a visitor's permit, and ensure they turn it in before they exit. If a guest does not have a visitor's permit, contact the unit's resident to resolve the matter before they can leave.

No Hooting
No hooting at the gates is permitted (hooting is a noisy sound made by a horn or siren.)

No Loitering
Do not allow visitors, staff, or others to hang around the gate. This will help you stay vigilant and pay attention to your job details.

Be Professional
Gate guards must always maintain a NO answer NO entry policy and be professional in conduct and behavior. This entails having a professional appearance and exhibiting a positive attitude.

Theft Prevention
Work equipment should only be removed from the work premises when the supervisor approves. Approval is done through the Authorization slip. Always ask for a signed authorization slip before allowing staff to leave the premises with the ministry's property. Raw materials and work equipment should never be taken home.
