Purpose
To ensure that guests are greeted and managed in an organized, respectful, and efficient manner. This involves confirming their identity, providing necessary information, directing them to the appropriate locations, and ensuring security protocols are followed. 

Scope
Includes greeting visitors, verifying their identity, conducting security checks, providing information, managing visitor flow, and directing or escorting them to the appropriate locations.

Definition
Visitor: is someone who comes to a place, such as a building, event, or location, for a temporary period, usually for a specific purpose like attending a meeting, event, or visiting someone.
Arrival: refers to the act of reaching or coming to a specific destination after a journey or trip. 

Visitors Arrival

You control guests' first impressions of the ministry as the person who receives guests. From the time a visitor arrives to our campus until they leave, it is important they are properly attended to. Follow these steps to ensure they have a pleasant experience on our campus, and are shown Christ-like excellence in every part of the process.

Pre-Arrival
Each day ensure the reception area is clean, comfortable, and ready to receive guests. Reception area should include items such as seating, reading material, charging station, and a general inviting atmosphere.

Gate Guard Responsibilities

Identification: Gate Guard’s should verify the identity of the visitor, usually through identification documents such as a driver's license or an ID card.
Security Check: If required, conduct security checks such as bag inspections or metal detector scans.
- Visitor Badge: Provide the visitor with a temporary identification badge and sign in the guest book.

Your responsibilities

  • Ensure the Gate Guards are following their proper protocol.
    Greeting
    Ensure that you are available to greet the visitor warmly and professionally at the gate.
    Appointment Verification: If the visit is pre-scheduled, confirm the appointment details and notify the appropriate person or department about the visitor's arrival.
    Escort Arrangements: Escort the visitor if they need to be accompanied throughout the facility, or to the reception area.
    Information and Directions: If necessary, while you escort them to their destination, provide the visitor with relevant information about the facility's layout, amenities, and points of interest.
    Refreshments: If the visitor is waiting in the reception area and scheduled for a social appointment or formal business appointment, help to make their waiting time comfortable. Offer them refreshments such as water, minerals, coffee, or tea. you should also offer snacks such as fresh fruit, or nuts should also be provided while the visitor waits or during a meeting.
    Announcements: If appropriate, notify the relevant personnel about the visitor's arrival, especially if they are waiting for a meeting.
    Introduction: When the visitor's host or point of contact is available, introduce them to the visitor and facilitate initial conversations.
    Cultural Sensitivity: Be aware of cultural differences and protocols, especially for international visitors.
    Accessibility: Ensure that the facility is accessible to visitors with disabilities and offer assistance if needed.
    Emergency Procedures: Brief the visitor about emergency procedures, exits, and safety protocols in case of unforeseen events.
    Feedback and Assistance: During and after the visit, solicit feedback from the visitor to ensure their needs are met. Offer assistance for any questions or concerns they may have.
