Purpose
To ensure that high-profile or distinguished guests are treated with appropriate respect, care, and attention. It involves specific guidelines for their reception, security, seating, and interactions to maintain decorum, ensure the comfort, and uphold the reputation of the hosting Ministry.
Scope
It includes welcoming the guest, ensuring security, arranging priority seating, providing a guided schedule, accommodating special requests, managing interactions and introductions, and handling their departure with proper procedure.
Definition
Special Guest: is an individual who holds a prominent or distinguished position, is important to an event or organization, or requires special attention and consideration during their visit.
Protocol: refers to the official procedures, rules, or guidelines that govern formal events, interactions, or processes, particularly in diplomatic, governmental, or organizational settings.
Special Guest Protocol
Special Guest: A special guest is an individual who holds a prominent position, is important to the Ministry, or requires special attention and protocol considerations during their visit. When a special guest is arriving, follow all usual protocol instructions in addition to these simple steps:
Arrival Procedures
Greeting
- Warmly greet guests upon arrival
- Maintain a welcoming and approachable attitude.
Information Sharing
- Ensure committee members know about room assignments, amenities, and guest services.
- Encourage the proactive sharing of relevant information with guests.
Special Requests
Handling Requests
- Establish a system for handling special requests from guests, such as room preferences, dietary needs, or special occasions.
- Ensure committee members know the procedures for addressing and fulfilling special requests.
Guest Assistance
Luggage Handling
- Define procedures for assisting guests with luggage, including storage and retrieval.
- Train committee members on proper handling and storage protocols.
Transportation Assistance
- Provide guidelines for offering assistance with transportation arrangements for guests.
Guest Communication
