Definition
The role of a protocol officer is to plan, organize, and manage official events, meetings, and ceremonies, making sure that all rules, manners, and procedures are followed.
The responsibility of a protocol officer is to ensure that all official events, meetings, and interactions follow proper rules, customs, and procedures.
Protocol's Roles and Responsibilities
Your job is integral in assisting the Campus Director and facilitating interdepartmental coordination to ensure the smooth functioning of operations within the Ministry. You are our residents' and guests' primary point of contact and are responsible for maintaining high professionalism and personable conduct. To ensure this, your roles and responsibilities include:
Professional Conduct
Always remember that you are an ambassador of the ministry. You are responsible for upholding the highest standards of professional conduct and maintaining a positive demeanor while interacting with residents, guests, colleagues, and stakeholders.
Supervisory Responsibilities
As a supervisor, it is your job to oversee staff, ensuring they are following all expectations while adhering to the ministry's standards. these expectations are detailed in the Supervisor Packet.
Campus walk-through inspection
Participate in thorough weekly inspections of accommodations and facilities to ensure they align with the ministry's standards. Promptly address any identified issues to enhance the overall resident & guest experience. Additionally, when the ministry plans events, you may be requested to conduct walk-throughs of event spaces to ensure they are well-prepared.
Trip Preparation
Plan and organize guest trips, ensuring all logistical arrangements are flawlessly executed. This includes arranging transportation, accommodations, and any specific requirements to ensure a seamless experience for our guests.
Guest Preparation
Conduct pre-visit assessments to ensure guest accommodations and facilities are prepared to the highest ministry standards. Attention to detail and a proactive approach are key to creating a positive impression.
Inventory Management
You are responsible for ensuring records of vehicles and house inventory are accurate. Ensure that all assets are in optimal condition, contributing to a well-prepared and welcoming environment for our residents & guests.
Guest Reception
You are at the forefront of guest reception. Warmly welcome guests, provide the necessary information and address immediate needs. The guest's comfort and satisfaction are central to this responsibility.
