Section: Human Resource Policies
Policy Owner: Ignition633 Ministries Nigeria Human Resources
Policy Name: Master Carpenter Task Assigning Policy
Origination Date: October 2024

Purpose:
The Master Carpenter Task Assigning Policy outlines a structured approach to assigning tasks within Ignition633 Ministries Nigeria's workshop. By focusing on clear communication and setting clear expectations, the policy will encourage accountability, skill-building, and productivity among carpenters. It ensures that all tasks align with the ministry’s standards and goals.

Scope:
This policy applies to the master carpenter and all team members involved in task assignments. It includes guidelines on communication, clarifying expectations, encouraging transparency, and promoting independence. By reinforcing these practices, the policy supports improved work organization, skill assessment, and performance tracking.

Policy Statement
The master carpenter assigns and lays out jobs for carpenters and closely allied workers. He supervises to ensure all tasks are completed to the ministry's standard. Properly assigned tasks will push your employees, projects, and department forward. Here's how.
- Strengthens accountability and trust between you and your employees.
- Allows your team to teach new skills and perfect old ones.
- Enhances better work organization.
- Makes for a great basis for performance reviews, etc.

Basic Tools
Communicate The Bigger Picture

When discussing the bigger picture, emphasize how each team member’s task impacts overall project progress. Remind staff that every task is a piece of a larger puzzle, showing them how their work contributes meaningfully. People are often more motivated and productive when they see the impact of their efforts on the broader goals.
When assigning tasks, clarify how each one fits into this bigger picture. For example, saying, “Your work on X will support Y and Z,” reinforces the importance of their role in the project's success

Get Your Employees Excited To Commit
Telling people about the bigger picture and showing them that it is possible is not enough, communicating the bigger picture simply ignites the spark; but for them to fully commit to the task, you need to define what that task entails. They should be able to picture how to go about the work, and how to achieve the desired result. Give directions on how the task should be done, and make sure they understand because the clearer the instructions, the more motivated they will be to work.

Encourage Transparency
Encourage everyone to input their tasks for the day in a timesheet. Timesheets aim to get an accurate idea of what everyone is working on at any given time. When you provide assignments to employees, label them with deadlines. Alternatively, you can ask for employees’ assessments on how long the work would take them and use those timeframes. You can also make a general daily work roster and monitor their progress.
Timesheets will enable you to monitor tasks and the people doing them. This will help you;
- Assess people’s skill sets and show where your employee needs improvement.
- Identify their strengths and see how they can benefit your department when planning.
- Identify any wasted time and how things can be done better.

Be less when performing assigned tasks to mitigate dependency.
It is common for employees to ask their supervisors for their opinion on a specific task or performance. The problem arises when you need to be more involved with the process. Learn not to jump in every time people call for your aid. Instead, assign reliable people who can address minor issues while you handle the big picture. Learn how to focus your energy where it is needed more.
