Policy- Work Hours and Attendance
Section: Human Resource Policies
Policy Owner: Ignition633 Ministries Nigeria Human Resources
Policy Name: Work Hours and Attendance Policy
Origination Date: August 2025
Purpose
The purpose of this policy is to establish clear guidelines regarding employee working hours, attendance expectations, and break periods. This policy is intended to promote punctuality, accountability, and operational efficiency while ensuring that ministry activities continue smoothly and effectively.
Scope
This policy applies to all employees of Ignition633 Ministries Nigeria. It outlines expectations regarding work hours, attendance, punctuality, lunch breaks, and procedures for absence or time-off requests.
Attendance Policy
Employees are to be timely. Please ensure you are present and seated in your duty position by your designated clock-in time provided by your supervisor. In addition, please take note of the following policies and expectations regarding your attendance.
Work Hours and Lunch Break
Employees are expected to observe the official work hours assigned to their department or role. Staff must be present and actively engaged in their duties during these hours unless otherwise authorized by their supervisor.
Employees are entitled to a one-hour lunch break during the workday. To ensure that ministry operations continue smoothly, lunch breaks should be coordinated within each unit so that too many employees are not away from their duty posts at the same time.
Supervisors may schedule or stagger lunch breaks where necessary to maintain adequate coverage and uninterrupted operations. Employees are expected to return to their duty stations promptly at the end of the lunch period. Unauthorized extension of lunch breaks may be treated as a violation of the attendance policy.
Late/Absence
Inform your supervisor before the start of the workday if you will be absent or late and obtain their permission to leave work early. Absences and late arrivals will be recorded and may impact your pay. You will be written up if you do not show up for your shift or are late without contacting your supervisor.
If this problem persists, you will be subject to corrective action and possible termination. Failing to call one's supervisor or report to work for two consecutive workdays will be considered voluntary resignation and result in removal from payroll.
Request Time Off
If you want to take time off, request it at least two weeks in advance. Time-off requests should be submitted through the TalentHR online platform. Employees are responsible for completing the request on the platform and submitting it for supervisor review and approval.
Supervisors reserve the right to approve, deny, or suggest alternative dates for time-off requests depending on operational needs.
Time Off
All time-off requests must be made at least two weeks in advance through the TalentHR platform. Supervisors may deny requests where necessary to ensure adequate staffing and smooth ministry operations.
Vacation / Holiday Time
Employees are entitled to 10 days of vacation or holiday time per year after completing their trial period. This time is intended to encourage employees to take adequate rest and maintain a healthy work-life balance.
Vacation days must be planned in advance and approved by the employee’s supervisor to ensure that ministry operations continue without disruption.
Paid Holiday Time
Employees are entitled to 4 days of paid holiday time per year. These days may be used for a pre-planned and approved holiday period.
The ministry may also designate specific holidays during which the office may close.
Paid Sick Time
Employees will receive up to 12 sick days a year. For a sick day to be used, the employee must submit a medical report or a note from a government hospital stating their recommendation to remain home from work. If an employee cannot obtain this, he/she should be willing to be assessed by our campus doctor to confirm sick condition or inability to work.
Paid Personal Time
Employees will receive one personal day per 3 months of employment, making four personal days per year. The employee may use this paid time off for a pre-planned and approved personal day off. Unauthorized absence from duty will result in no pay.
Paid Maternity Leave
Women will receive six weeks off of work before and after birth. They will be given 50% of their usual salary during this time. Please inform your supervisor and complete a time-off request eight weeks before your baby is due.
Unpaid Paternity Leave
Men will receive two weeks off of work before or after the birth of their child. This is not a paid time off. Please inform your supervisor and complete a time-off request eight weeks before your baby is due.
If you have any questions about your department's bonus and overtime policy, please get in touch with your supervisor or HR.
This policy will be reviewed annually and is subject to change. Any changes will be communicated to all employees promptly.
